Private schools and high schools: collect tuition fees by bank transfer, monthly or quarterly
A subscription per student generates the tuition invoices at each due date; parents pay by bank transfer from their bank, and you track late payments without chasing anyone.
The challenge for private schools
For a private school, middle school or high school, tuition fees are the main source of income. They are also the main source of chasing: each family has its own installments, several people may pay for the same student, and late payments pile up silently until you realize that cash flow is tight.
Paying by bank transfer is natural for parents, but on the school's side it means matching each transfer to a student, a quarter, a month — and manually chasing those who haven't paid.
Monthly or quarterly: you choose the rhythm
Each student has a tuition subscription. You choose its frequency:
- monthly, for families who prefer to smooth the expense;
- quarterly, aligned with the school calendar;
- annual, if you collect the year in one go.
You set the amount, and you can generate the invoices in advance — up to 24 installments in a single operation. Each invoice becomes visible and payable by parents on its due date.
How it works
- You register your students. Name, level (for example Grade 3, Year 9, Final Year), class, registration number, school year — one by one or by CSV import. You attach the paying contacts: father, mother, guardian.
- You generate each student's subscription, with its frequency and amount.
- Registration fees are issued separately, as a one-off invoice.
- Parents are notified at each due date and pay by bank transfer from their bank, to the school's verified RIB.
- The bank confirms, the invoice moves to “paid” and you are informed.
- In case of delay, reminders and follow-ups go out automatically to all of the student's paying contacts.
What parents see
In their space, parents find their child's tuition: installments paid, upcoming and overdue, along with the level, the class and the school year. If several people can pay, each one sees the invoice; there is no more doubt about “who is paying what”. No card number is entered and no account is debited without the family's knowledge.
What management sees
- A collections dashboard: overdue installments, sortable by age or by amount, with totals per subscription.
- Tracking per student, with their level and class, to find a file quickly.
- Delays detected every day, with no intervention.
For a school group with several campuses, a network mechanism lets the group's schools share the visibility of certain sections, including students.
What virement.tn does not do
- No management of grades, absences or timetables: only invoicing and payment.
- No automatic discounts (siblings, scholarships): the amount is the one you set for each student.
- No automatic late-payment penalties on a tuition subscription: they exist for installment payment plans.
- No direct debit: each parent triggers their own transfer.
Going further
- The article collecting school fees by bank transfer details the approach step by step.
- To spread a lump sum (arrears, a full year) over a defined number of months, see installment payments.
- The principle of a periodic subscription is explained on the recurring payments page.
- The full journey of an invoice is described in how it works, and pricing depends only on the volume of transfers.
Frequently asked questions
Can tuition be billed monthly or quarterly?
Yes. Each student has a subscription whose frequency is monthly or quarterly (annual is possible). You set the amount, and invoices can be generated in advance, up to 24 installments in a single operation.
Can the father and the mother both pay the same invoice?
Yes. Several paying contacts can be attached to a student's subscription (father, mother, guardian or other). Each sees the invoice from their own space and can pay it; reminders are sent to all of them.
How do I handle registration and re-enrollment fees?
They are issued separately, as a one-off invoice, since this is an annual fee and not a periodic installment.
Can I manage several children from the same family?
Yes. Each child has their own subscription, identified by their registration number, and parents find all the fees in their space.
What happens when an installment isn't paid?
The delay is detected automatically. The student's paying contacts receive a reminder before the due date and then follow-ups at 1, 7 and 15 days late, and a collections dashboard lists the overdue installments.
Does virement.tn debit the parents' account?
No. Each parent triggers their own transfer from their bank's app. virement.tn debits nothing and asks for no card number.
