Condominium fees: how a manager collects by bank transfer

Condominium managers: bill charges per owner, generate periodic calls and track unpaid amounts, with payment by bank transfer.

Published on 5 min read

Collecting condominium charges means repeating the same operation every quarter with dozens of owners: sending the call, waiting for payments, identifying who has paid, chasing the others. Bank transfer is the natural means of payment; it is tracking it that takes time.

The usual points of friction

  • Payments hard to reconcile: a transfer with no reference doesn't say which unit it pays.
  • Manual reminders, often late, for lack of a clear view of unpaid amounts.
  • Multiple owners for a single unit (joint ownership, heirs).
  • An amount that comes from elsewhere: the calculation of ownership shares is done in another tool.

The two ways to use virement.tn

Directly, from the app

The manager creates the charge invoices per owner — one by one, or in bulk by CSV import — or sets up a periodic subscription that generates the charge calls at each due date. The amount is set by the manager. The owner receives a notification and pays by bank transfer, from their bank, to the condominium's verified RIB.

Through the API, from your management software

If your software already calculates ownership shares and calls, it can create the invoices in virement.tn and receive the payment confirmation in return: you re-enter nothing, and the “paid” status comes back automatically. The integration page explains the principle.

What this changes day to day

BeforeWith virement.tn
Transfers with no reference to reconcile by handEach transfer is attached to an invoice
Reminders when you think of itAutomatic reminder before the due date and overdue follow-ups
Blurry view of unpaid amountsCollections dashboard, with overdue installments
A single recipient per unitSeveral paying contacts per subscription

What virement.tn does not do

  • No calculation of ownership shares or split keys: the manager (or their software) remains the sole decision-maker on the amount.
  • No management of general meetings or budget votes.
  • No direct debit: the owner triggers their own transfer.

The good reflex: one call, one reference

Whatever the tool, always associate each charge call with a clear identifier (unit, period). It is what avoids manual reconciliation. On virement.tn, this reference is carried by the invoice itself.

For calls that recur on a regular due date, see recurring payments; for spreading an unpaid amount over time, installment payments.

Frequently asked questions

Does virement.tn calculate ownership shares and the split of charges?

No. The amount of each call is set by the manager, or sent by the management software that calculated it. virement.tn handles collection by bank transfer and tracking.

Can management software connect to virement.tn?

Yes, through the API: the software creates the invoices and receives the payment confirmation. See the integration page.

Can several owners be attached to the same unit?

Several paying contacts can be attached to the same subscription, which lets several owners see and pay the charge call.
